Background of the Study
Student services are an essential component of university life, providing support for a wide range of administrative and academic needs. However, many university student service departments are overwhelmed by the volume of inquiries they receive, leading to delays, inefficiencies, and dissatisfaction among students. The integration of AI-based chatbots into student services has emerged as a solution to these challenges, offering real-time assistance and improving the efficiency of communication between students and university departments (Smith & Zhou, 2024). AI-driven chatbots can handle a variety of student service tasks, including answering questions about admissions, course registration, fee payment, and campus facilities, making them accessible 24/7.

At the University of Abuja, FCT, the development and deployment of AI-based smart chatbots could significantly enhance the student experience by providing timely, accurate responses and reducing the workload of university staff (Kamara et al., 2023). These chatbots could also be personalized to cater to individual students’ needs, offering relevant information based on their academic profile and interactions with the system. This study aims to develop an AI-based chatbot system tailored to the needs of students at the University of Abuja and assess its effectiveness in improving the quality and efficiency of student services.

Statement of the Problem
At the University of Abuja, students often face long waiting times when seeking answers to questions related to admissions, academic schedules, and general campus services. The existing student services system is not equipped to handle the growing number of student inquiries in an efficient and timely manner. This leads to dissatisfaction, frustration, and delays. This study investigates whether an AI-based smart chatbot can address these challenges by providing instant, accurate responses to student queries, thus improving the overall efficiency and satisfaction of students using the services.

Objectives of the Study

  1. To design and implement an AI-based smart chatbot system for student services at the University of Abuja.
  2. To evaluate the effectiveness of the AI-based chatbot in improving the quality and response time of student services.
  3. To assess the impact of the AI-based system on student satisfaction with university services.

Research Questions

  1. How effective is the AI-based smart chatbot in handling student inquiries compared to traditional student services?
  2. What impact does the AI-based chatbot have on student satisfaction with university services?
  3. What are the challenges and opportunities associated with implementing AI-based chatbots in Nigerian universities?

Research Hypotheses

  1. The AI-based smart chatbot improves the response time and quality of student services compared to traditional methods.
  2. Students who interact with the AI-based smart chatbot report higher satisfaction with student services than those who do not.
  3. The implementation of AI-based chatbots in student services at the University of Abuja faces challenges such as system integration and user adoption.

Significance of the Study
The study will offer valuable insights into the potential of AI-powered chatbots to improve the efficiency and quality of student services at the University of Abuja. The findings will be applicable to other Nigerian universities, providing a model for using AI to enhance student support services and streamline communication processes.

Scope and Limitations of the Study
This research will focus on the design and implementation of an AI-based smart chatbot for student services at the University of Abuja, FCT. The study will be limited to undergraduate student services and will not include postgraduate or other non-student services.

Chatbot: A software application that uses AI to simulate conversations with users.
Student Services: A range of administrative and support services offered to students, including admissions, registration, financial aid, and campus information.
